How Toodday works

Getting started

Toodday is a calm, keyboard-fast workspace for engineers and engineering leads. It brings your personal tasks, notes, and projects together with a read-only view of your team's Jira data, daily standups, meetings, and an at-a-glance “Today” console — all in one place.

  • One workspace per person. Everything you create lives in a single private workspace tied to your account.
  • Sign up, and a 7-day free trial of the Pro plan starts automatically — every feature is included during the trial.
  • Most people start their day on the Today view and capture new work with Quick Capture (⌘K) as it comes up.

Daily console

Today view

The Today view is your operator console for the day. A KPI strip across the top summarizes what needs attention, and a set of focused cards below pull together everything actionable right now.

  • Tasks card — add a task inline (press T), cycle a task's status by clicking its pill, or snooze it to tomorrow with a one-tap Undo.
  • Standup, Releases, Watchdog, High-priority, Starred tickets, and (optionally) Meetings cards surface the rest of your day.
  • A focus timer runs a distraction-free work block and survives page reloads and midnight rollovers.
  • If your Jira data hasn't been refreshed in a while, a banner reminds you to import a fresh export.
TipToggle whether the Today view includes your meetings in Settings → Preferences.
Track work

Tasks

Tasks are the core unit of work in Toodday. View them as a list or a Kanban board, filter and sort to find anything fast, and open any task for full detail.

  • Switch between list and board (Kanban) views; on the board, drag cards between columns to change status, project, or assignee.
  • Group, filter, and sort by status, priority, project, assignee, due date, or free-text search — then save a filter combination as a reusable view.
  • Each task has a status, priority, due date and time, assignee, project, and tags.
  • Open a task to add subtasks, post updates to its activity feed, attach images, and link it to Jira tickets and releases.
  • Your in-progress update text is saved as a draft automatically, so you never lose a half-written note.
NoteDeleted tasks are removed from your lists but kept safely out of the way rather than erased immediately.
Write things down

Notes

Notes are markdown documents for everything that isn't a task — research, decisions, meeting takeaways, or reference material.

  • Write in markdown with full formatting; view notes inline or full-screen.
  • Attach images, and link a note to a project, a task, or Jira tickets for context.
  • A note can also be created by promoting a meeting entry, keeping a link back to where it came from.
Organize

Projects

Projects group related tasks and notes. Use them to organize ongoing areas of work or time-boxed initiatives.

  • Create permanent projects for ongoing areas, or target-date projects for work with a deadline.
  • Add one level of subprojects to break a larger project into parts.
  • Pin the projects you use most so they appear in the sidebar.
  • Each project gets a color, and its detail page has tabs for its tasks and notes.
Capture & triage

Inbox & Quick Capture

Quick Capture lets you jot down a task or note the instant it occurs to you, without breaking focus. Anything captured without a project lands in your Inbox for later triage.

  • Press ⌘K from anywhere to open Quick Capture; choose Task or Note and save.
  • The Inbox lists everything un-triaged across two tabs — Tasks and Notes.
  • Select several items and move them into a project in one step.
TipQuick Capture (⌘K) is for adding things; global search (⌘/) is for finding them. See the Search section.
Jira insight

Jira dashboards

Toodday gives you a clean set of dashboards over your Jira data. You bring the data in by importing a CSV export from Jira — there is no live connection to your Jira instance, so nothing you do here ever changes a Jira ticket.

  • Import: drag a Jira CSV export onto the Import page, preview what was found, and confirm to refresh your snapshot.
  • Calendar: see releases (fix versions) on their deployment dates, color-coded by health.
  • Releases: browse upcoming, unscheduled, and past releases, and adjust deployment dates.
  • Tickets: search, filter, and sort all tickets; copy a set of ticket links in one click.
  • Assignees: a per-person workload view with status breakdowns and stale-ticket counts.
  • Watchdog: surfaces tickets that were created and then never touched, grouped by severity, with a nudge helper.
  • Starred & Past: keep a personal watchlist of tickets, and search a historical archive of releases and tickets.
Read-onlyAll Jira views are read-only. Toodday reads from the CSV snapshot you import — it never writes back to Jira. Re-import whenever you want fresh data; the Today view warns you when your snapshot is getting old.
Daily sync

Standup

The Standup workspace helps you prepare and share what you're working on each day. Pick a date and an assignee, and Toodday gives you a focused space to capture progress.

  • Add as many updates as you need; edit or remove them as the day changes.
  • Mark the tickets you're working on today, add per-ticket notes, and set an optional ETA.
  • A prior-day panel shows yesterday's standup so you can pick up where you left off.
  • Everything saves as you go — there's no save button.

Stay aligned

Meetings

Meetings keep a running thread of notes, decisions, action items, and questions for each recurring or one-off meeting.

  • Set a recurrence — daily, weekdays, weekly, biweekly, monthly, or one-off — and Toodday tracks each occurrence.
  • Add entries to a meeting's thread as it happens; tag each entry as a note, decision, action item, or question.
  • Link tickets at the meeting level or to an individual entry.
  • Promote any entry into a full note, with a link back to the meeting.
  • Pin meetings to the sidebar and optionally show today's meetings on the Today view.
Bring your own key

AI features

Toodday's AI features run on a provider you connect yourself. Add your own API key for Anthropic, OpenAI, Gemini, or DeepSeek in Settings → Integrations, and Toodday routes AI requests through it.

  • AI Today briefing: a narrative summary of your day, pulled from your tasks, meetings, and standup.
  • AI standup report: turns your standup into a shareable, well-structured update.
  • Both keep a history of past reports, and show an estimated cost for transparency.
Bring your own keyToodday never marks up AI usage — you pay your chosen provider directly for tokens, and nothing extra to us. If no provider is connected, the rest of the app works exactly the same; only the AI reports are unavailable.

Settings & preferences

Settings let you tailor Toodday to how you work, from appearance to workspace-wide thresholds.

  • Preferences: light or dark theme, compact (denser) layout, timezone, locale, date and time formats, week start, and your default landing page.
  • Workspace: your Jira base URL and ticket prefix, watchdog staleness thresholds, and which priorities count as high-priority.
  • Integrations: connect an AI provider, browse imported Jira data, and manage your storage and largest files.
  • Data: export everything in your workspace as JSON, and review or roll back your Jira import history.

Plan & trial

Billing & trial

Toodday is one simple plan: Pro, at $19/month USD, with every feature included. New accounts start with a 7-day free trial.

  • The trial begins when you sign up; you can use everything during it.
  • Manage your subscription — update your card, cancel, or resume — from the billing portal in Settings → Account.
  • Cancel anytime; if you change your mind before the period ends, you can resume without losing anything.
NoteAI features are billed separately by your own provider (bring your own key). The $19/month Pro plan never includes AI token charges from Toodday.

Does Toodday connect to Jira live?

No. Toodday works from a CSV export you import yourself, so nothing here ever changes a Jira ticket. Re-import whenever you want fresh data.

Do I pay Toodday for AI usage?

No. AI features use your own provider key (Anthropic, OpenAI, Gemini, or DeepSeek). You pay that provider directly for tokens; Toodday adds no markup.

How many workspaces do I get?

One per person. Everything you create lives in a single private workspace tied to your account.

What does it cost?

One Pro plan at $19/month USD, with a 7-day free trial. Every feature is included.

Can I export my data?

Yes. Export your entire workspace as JSON anytime from Settings → Data.

Is there a dark mode?

Yes — choose light or dark in Settings → Preferences. The whole app, including this page, follows your choice.
